Who we are

SubOn is operated by SubOn Ltd, a private limited company registered in England and Wales (company number 17292576). The official website for SubOn Ltd is www.subonapp.com.

SubOn Ltd is the data controller for the personal information described in this policy.

What we collect

SubOn stores the account and game information needed to let organisers create games, invite players, and manage attendance and payments. This may include your email address, display name, game participation, payment status, and related game records.

When you join a game on the web without installing the app, we create a temporary anonymous session so you can enter your name and complete the join flow. That session is stored in your browser and linked to your player record for that game.

If you choose to set a Discover area (a town or postcode), we store that approximate location so we can show public games and players near you. We do not track live GPS. Other people do not see your area unless you turn on Appear in player search. If you do, organisers see a coarse place — a town or city, or the first part of a postcode such as B3 — and an approximate distance, not your street or full postcode. You can change or clear this at any time in Profile Details.

How we use it

We use your information to authenticate users, power game creation and joining, support organiser workflows, send notifications on mobile, keep shared game data in sync across devices, and — when you have saved a Discover area — rank and filter public games by distance.

Payment records reflect whether you have joined, marked a bank transfer as sent, or been confirmed as paid by the organiser. We do not process card or bank payments directly — organisers receive bank transfers outside SubOn.

Sharing and storage

We do not sell personal information. Data is stored in the systems used to operate the service, including our hosted backend infrastructure (Supabase). Organisers you join can see the name you provide and your payment status for their games.

Organisers can optionally save their UK bank details on their own device to pre-fill new games. That saved copy is not stored in our database. Payment details attached to a game are shown to players who join so they can pay the organiser directly.

Some preferences may also be cached on your device for convenience, such as saved bank-app shortcuts or display settings.

Cookies

We use essential cookies to keep you signed in on the web and to support anonymous player join sessions. These are required for the service to work.

We do not use third-party advertising cookies. You can clear cookies in your browser settings, but you may need to sign in again.

Deleting your account

You can delete your SubOn account in the mobile app (Profile → Settings → Profile Details → More → Delete account) or on the web account page. Deletion removes your login and profile. Upcoming games you organised are cancelled so other players keep their history; your name is replaced with “Deleted account” on spots you took.
